Refund Policy

Refund Policy

Last Updated: 27 August 2026

At Siteguide, we are committed to delivering high-quality software development, website development, mobile application development, e-commerce solutions, digital services, maintenance, and related technology services.

This Refund Policy explains the circumstances under which payments may or may not be refunded.

1. General Policy

Due to the nature of our services, which involve dedicated development resources, project planning, design, development, testing, infrastructure, and other work performed specifically for a client, payments made for services are generally non-refundable once work has commenced.

By purchasing our services or approving a project, the client acknowledges and agrees to this Refund Policy.

2. Project Advance Payments

For custom development projects, clients may be required to make an advance payment before development begins.

Once Siteguide has allocated resources or commenced work on the project, the advance payment is generally non-refundable, as it covers project planning, resource allocation, development work, and other associated costs.

3. Milestone Payments

Where a project is divided into milestones, each milestone payment becomes payable according to the agreed Scope of Work (SOW), proposal, quotation, or agreement.

Payments made for a completed or substantially completed milestone are non-refundable.

If a client chooses to discontinue a project after work has commenced, amounts already paid for completed work, work in progress, or resources committed to the project will not ordinarily be refunded.

4. Cancellation by Client

A client may request cancellation of a project by providing written notice to Siteguide.

If cancellation occurs after work has commenced:

* Amounts relating to completed work will not be refunded.
* Amounts relating to work already performed or substantially performed will not be refunded.
* Any committed third-party costs may be payable by the client.
* Outstanding payments for work completed before cancellation may remain payable.
* Any refund, if applicable, will be determined based on the specific project agreement and the amount of work completed.

5. Change of Mind

Refunds are not provided solely because a client:

* Changes their business requirements.
* Changes their mind about the project.
* Decides not to launch the product.
* Decides to use another service provider.
* Changes their business strategy.
* Does not like the concept after approving the scope or design.
* Decides not to use the completed website, application, software, or other deliverable.

Changes in requirements may be treated as additional work and may result in additional charges.

6. Delays Caused by the Client

Siteguide will make reasonable efforts to complete projects according to the agreed timeline.

However, delays caused by the client—including delayed approvals, delayed content, delayed access credentials, changes in requirements, delayed feedback, or other dependencies—will not normally constitute grounds for a refund.

Project timelines may be adjusted accordingly.

7. Third-Party Services and Expenses

Some projects may require third-party services, including but not limited to:

* Hosting services
* Domain registration
* Apple Developer accounts
* Google Play Developer accounts
* Shopify services
* Payment gateways
* APIs
* Plugins and themes
* SaaS subscriptions
* Cloud infrastructure
* Third-party software or licenses

Fees paid to third parties are generally non-refundable by Siteguide and may be payable by the client separately.

8. Defective or Undelivered Services

If Siteguide is unable to deliver a service due to circumstances entirely within Siteguide’s control, the client may contact us to discuss an appropriate resolution.

Depending on the circumstances, Siteguide may, at its discretion:

* Correct the issue;
* Provide additional development support;
* Extend the delivery timeline; or
* Provide an appropriate partial or full refund where reasonably justified.

Any refund will be evaluated based on the specific circumstances, project agreement, work completed, and payments already made.

9. Bugs and Technical Issues

The presence of bugs or technical issues does not automatically qualify a client for a refund.

Where the issue falls within the agreed project scope, Siteguide will make reasonable efforts to investigate and correct the issue in accordance with the applicable warranty, support, or maintenance terms agreed with the client.

Issues caused by third-party services, changes made by the client or another developer, unsupported environments, or changes outside the agreed scope may be treated separately.

10. Scope Changes

Requests that fall outside the original agreed scope may require additional payment.

A client cannot request a refund because additional features, revisions, integrations, or functionality were not included in the original Scope of Work.

Any additional work will be handled according to the applicable quotation, change request, or agreement.

11. Refund Processing

Where a refund has been approved, Siteguide will process the refund using the original payment method wherever reasonably possible.

The time required for the refund to appear in the client’s account may depend on the applicable payment gateway, bank, or financial institution.

12. Project-Specific Agreements

If a signed agreement, proposal, Statement of Work, quotation, invoice, or other written agreement contains refund or cancellation terms that differ from this policy, the specific project agreement will prevail for that project.

13. How to Request a Refund

To request a refund or raise a payment-related concern, please contact Siteguide with:

* Your name or company name
* Project name
* Invoice or transaction details
* Reason for the refund request
* Relevant supporting information

Requests will be reviewed on a case-by-case basis where applicable.
